Updating Working Hours

This guide will cover:

  • Changing working hours for select employees.  Updating working hours changes the employee's FTE (Full Time Equivalency).
  • Updating working hours and salary for benefited employees partaking in voluntary reduction in hours for summer.

This guide details the steps for completing this process using Supervisor/Manager WyoCloud access.

Note that updating working hours does not change an individual’s salary, only their FTE.  If a salary change is needed in coordination, be sure to follow the additional steps in step four to make this change at the same time.

Step One

  • Upon logging into WyoCloud from WyoWeb, navigate to My Team using the Navigator bar.

  • First click My Team to expand, then click My Team within the navigator.

  • The My Team homepage will display.

 

Step Two

Select the employee whose working hours needs to be changed.

  • Click the actions menu (orange down arrow) next to the employee.

  • From the drop down, select Personal and Employment then Change Working Hours.

 

Step Three

Edit working hours.  The Change Working Hours page will display.  Under Basic Details, update the following:

  • Enter the effective date in the Change Working Hours Date field.
  • Confirm that Working Hours Change is selected in the Change Working Hours Action field.
  • Select the most appropriate reason from the Change Working Hours Reason drop down.

If you are making the working hours change due to reduction of hours for benefited employees, note the reduction must be in full months.  Thus the effective date should be the first of a month.  The working hours will also be moved to 32 hours (from 40).

  • Edit the working hours in the Working Hours Details section.

  • Click Next in the upper, right-hand corner of the page.

 

Step Four

The following steps are only required when an update to salary is also required such as when the change is due to a benefited employee is doing a voluntary reduction of hours for summer.  If no salary change is needed (ie: for a non-benefited employee change in working hours), proceed to step five. 

  • On the Compensation Details page, click Propose New Salary.

  • Under New Salary you will need to calculate and enter the appropriate adjusted salary in the Salary Amount field (deleting what is pre-populated). This can be calculated using the following equation:

Salary (original) x FTE (decimal)

Divided by 12 (if result is a decimal, round up to next full dollar)

Times 12 = adjusted salary

Example: $49,008 x .8 FTE (32 hours) = $39,206.40

$39,206.40 / 12 = $3,267.20 round up = $3,268

$3,268 x 12 = $39,216 adjusted salary

 

Step Five

Submit the update.

  • Review to the Compensation Details page to confirm all details are accurate.
  • Click Next in the upper, right-hand corner of the page.

  • After reviewing the Change Working Hours page, click Submit in the upper, right-hand corner of the page.

  • Click Yes in the Warning window.

 

If updating working hours/salary on a temporary basis (ie: summer voluntary reduction of hours), these steps will need to be followed a second time to return to previous working hours/salary.  This cannot be completed until after the initial transaction is fully processed and approved.
