Graduate Assistant (GA) Job Offer

This guide outlines the finalization process for a Graduate Assistant (GA) direct hire that culminates with a job offer in the Oracle Recruiting Center (ORC).

Processing Final Candidate

  • After the intended candidate has completed the job application via the exclusive application link emailed from HR Recruiting, the automatic procedures listed below are initiated to finalize the Graduate Assistant (GA) direct hire.

Step 1

Banner integration verifies the candidate’s W# and student status.

Step 2

Academic Affairs reviews the candidate’s eligibility for a Graduate Assistant (GA) position.

Step 3

If approved, HR Recruiting electronically extends and accepts the job offer on behalf of the intended candidate.

Step 4

HR Recruiting conducts the University of Wyoming’s formal candidate background check.

Step 5

After successful completion, the hire will be submitted for HR processing.

Step 6

Welcome Email is sent to the candidate’s non-UW email address from HR Recruiting.

Step 7

The candidate must follow the email instructions to be officially hired as a Graduate Assistant (GA).

Hiring Managers and Hiring Manager Assistants should not progress the candidate in WyoCloud HCM at any point during the automated procedures listed above.

Graduate Assistants (GAs) are not allowed to start working before their official start date. Start dates are firm and cannot be changed.

If you do not see the steps detailed within this guide, your HCM Recruiting Cloud Access Training is most likely incomplete. If you are a member of a Search Committee, please contact hr@uwyo.edu to have the training assigned.

Step One

My Team Navigation                                                                 

  • After logging in to WyoCloud HCM, click on the My Team module tab in the top taskbar.
  • Click on the Hiring application.

Step Two

Candidate Applications

  • After you have clicked on the Hiring application, the Job Requisitions page will populate.
    • The Job Requisitions page will show all previously submitted job requisitions.
  • Click on Applications on the right-hand side of the Graduate Assistant (GA) position to view candidate applications.

  • The Job Applications page will show all applicants for the Graduate Assistant (GA) position.
  • If the job application is complete, GA New, GA Eligibility to be Verified will be listed in the Status column.
  • Click on the candidate's name to review their job application.

Step Three

Application Details

  • After you have clicked on the candidate's name, the Application Details page will populate.
  • In the middle of the page, different job application sections will need to be reviewed.
  • On the left-hand side is a navigation menu that supplies further applicant information.

  • Click on the drop-down arrow on the right-hand side to review a job application section.

  • Click on Questions in the left-hand navigation menu to review federal prescreening disclosures.

  • Please note that Search Committee Members cannot dismiss an applicant from the search process based on their federal prescreening disclosures.

Step Four

Academic Affairs Review

  • If the Banner integration is complete, Academic Affairs Review, Under Review-Academic Affairs, will be listed in the Status column.

  • Academic Affairs will now review the candidate’s eligibility for a Graduate Assistant (GA) position.

Step Five

Create Job Offer

  • If Academic Affairs has approved the candidate’s eligibility for a Graduate Assistant (GA) position, Offer, to be Created will be listed in the Status column.

  • HR Recruiting will now create a job offer in the Oracle Recruiting Center (ORC).

Step Six

Finalize Hire

  • After HR Recruiting has created the job offer in the Oracle Recruiting Center (ORC), the automatic procedures listed below are initiated to finalize the Graduate Assistant (GA) direct hire.

Step 1

HR Recruiting electronically extends and accepts the job offer on behalf of the intended candidate.

Step 2

HR Recruiting conducts the University of Wyoming’s formal candidate background check.

Step 3

After successful completion, the hire will be submitted for HR processing.

Step 4
