List Moderation & Emergency Moderation

Introduction

Moderation allows distribution list administrators to review and approve messages before they are delivered to list members. While most distribution lists are unmoderated, some require message approval to help ensure that only appropriate or authorized content is distributed.

In most cases, the list owner(s) also serve as the list moderator(s). However, owners can designate additional moderators who are responsible for approving or rejecting messages without granting them permission to modify other distribution list settings.

This article provides step-by-step instructions for managing distribution list moderation, including how to configure moderators and enable Emergency Moderation when needed.

Adding Moderators That May Approve Postings

Step 1: Navigate to https://lists.uwyo.edu/mailman/admin/ListName to open the distribution list's admin page. Here ensure you log-in by entering the lists password 

  • Note: ListName should be replaced with the name of your distribution list

Step 2: Once you are logged-in, the General Options Section should appear. Here, scroll down and navigate to the "General list personality" section.

Here, navigate to the "The list moderator email addresses. Multiple moderator addresses..." section:   

  • Added the desired email addresses of the Moderators

  • NOTE: Moderators should NOT also be Owners 

Once all desired changes are made, scroll down and select "Submit Your Changes" to complete the process

If you are needing to change the Moderator password, please navigate to Changing Administrative, Moderators, And Posters Password, and follow the provided steps 

 

 

Requiring Approval For List Members To Post 

Step 1: Navigate to https://lists.uwyo.edu/mailman/admin/ListName to open the distribution list's admin page. Here ensure you log-in by entering the lists password 

  • Note: ListName should be replaced with the name of your distribution list

Step 2: Once you are logged-in, the General Options Section should appear. Here, navigate to "Privacy Options..." then select "Sender filter

Step 3: In the Sender filter section, navigate to the "Member filters". Locate the following settings and update them as follows:

  • By default, should new list member postings be moderated?: Set this option to "Yes"

  • Action to take when a moderated member posts to the list: Set this option to "Hold"

Once all desired changes are made, scroll down and select "Submit Your Changes" to complete the process

Step 4: Once changes are saved, navigate to "Membership Management..." option then select "Membership List

Step 4: In the Membership List section, scroll down to "Additional Member Tasks". Locate "Set everyone's moderation bit, including those members not currently visible" and set it to "On"

  • Ensure you are selecting "Set" to complete this process

Viewing Requests Requiring Approval

Step 1: Navigate to https://lists.uwyo.edu/mailman/admin/ListName to open the distribution list's admin page. Here ensure you log-in by entering the lists password 

  • Note: ListName should be replaced with the name of your distribution list

Step 2: Once you are logged-in, the General Options Section should appear. Here, navigate to "Other Administrative Activities" then select "Tend to pending moderator requests

  • If There's Requests: Here you will be able to view the summary list of subscription requests, unsubscribe requests, and posting being held for approval. Follow the "More detailed instructions" provided on that page for an explanation of each options (e.g., Defer, Accept, Preserve, etc...)

  • If No Requests: Page will present message "There are no pending requests."

Once all desired changes are made  select "Submit All Data" to complete the process

Allowing Members To Post Without Approval 

Step 1: Navigate to https://lists.uwyo.edu/mailman/admin/ListName to open the distribution list's admin page. Here ensure you log-in by entering the lists password 

  • Note: ListName should be replaced with the name of your distribution list

Step 2: Once you are logged-in, the General Options Section should appear. Here, navigate to "Membership Management...Section" then select "Membership List"

Step 3: Once in the Membership List, navigate to the individual that you would like to post without approval, then deselect the checkbox in the "mod" section. 

Once all desired changes are made  select "Submit Your Changes" to complete the process

Allowing Specific Non-Members To Post Without Approval

Step 1: Navigate to https://lists.uwyo.edu/mailman/admin/ListName to open the distribution list's admin page. Here ensure you log-in by entering the lists password 

  • Note: ListName should be replaced with the name of your distribution list

Step 2: Once you are logged-in, the General Options Section should appear. Here, navigate to "Privacy Options..." then select "Sender filter

Step 3: In the Sender filter section, navigate to the "Non-Member filters". Locate the following settings and update it as follows:

  • List of non-member addresses whose postings should be automatically accepted: Enter the desired non-member(s) email addresses 

Once all desired changes are made, scroll down and select "Submit Your Changes" to complete the process

Turning On Emergency Moderation 

Step 1: Navigate to https://lists.uwyo.edu/mailman/admin/ListName to open the distribution list's admin page. Here ensure you log-in by entering the lists password 

  • Note: ListName should be replaced with the name of your distribution list

Step 2: Once you are logged-in, the General Options Section should appear. Here, scroll down and navigate to the "Additional settings" section. Here, navigate to the "Emergency moderation of all list traffic" and ensure the option is set to "Yes"

Once all desired changes are made, scroll down and select "Submit Your Changes" to complete the process
