Outstanding P-Card Transactions Report

This guide will cover:

  • How to navigate to and run the Outstanding P-Card Transactions Report on the Transactional Reporting Table of Contents in WyoCloud.
  • This report details p-card transactions which have not yet been completely reconciled, meaning they have 1) either not been added to an expense report and/or 2) the expense report has not yet reached a “paid“ status. This report will only display those outstanding/unreconciled transactions that could result in the card being placed on a hold per the p-card policy.

Step One

Upon accessing WyoCloud from WyoWeb, navigate to Reports and Analytics.

  • Click on the Navigator (three horizontal lines) in the upper left corner of the homepage.

  • First click on Tools to expand (you may need to scroll within the navigator), then click Reports and Analytics.

  • The Reports and Analytics page is displayed.

 

Step Two

Navigate to the Transactional Reporting Table of Contents, where the Outstanding P-Card Transactions Report is located.

  • Select the small double arrow above the search.

  • From the drop down, select Shared Folders.

  • All Shared Folders you currently have security access for will display.  To locate the Transactional Table of Contents, begin by clicking on the Custom folder (you may need to scroll to locate it).

  • Click Dashboards.

  • Click Table of Contents.

  • To open the Table of Contents, click on the title

Step Three

Run the Outstanding P-Card Transactions Report:

  • Select Outstanding P-Card Transactions under Expenses and P-Card.

  • You can filter the report using any of the following prompts.
    • Employee Current Organization: The specific organization the employees are currently assigned to pull all outstanding p-card transactions assigned to individuals within an organization.  Note: this field searches by organization account code, not organization name  (i.e., 21001 not  by name Budget Office).
    • Employee Name: Enter a specific cardholder name if you would like to search by name.  This field can be left blank; however, if nothing is entered in either this or the organization field, the report will populate with all cardholders.
  • Click OK.

  • The Outstanding P-Card Transactions Report is displayed.

  • At the top of the report, there are a few important items to note to understand the detais provided in the report. Read the information at the top prior to viewing the details displayed underneath.
  • This report will only display p-card transactions that have not reached a “paid status“ and therefore not completely reconciled.
  • You may need to use the scroll feature on the far right side to view all charges.

  • The following columns are displayed on the report to determine employee(s) who have outstanding/unreconciled p-card transactions:

Column Name

Column Description

Employee Current Organization

Current organization the employee(s) are currently assigned to and working for.  Note: This could be different from the expense organization for where the expense is being charged to. 

Transaction Date

Posted transaction date of the p-card transaction

Employee Name

Name of the employee the p-card is assigned to

Expense Organization

Organization code within the chart of accounts string allocated for the transaction expense for transactions that have been added to an expense report and the chart of account string updated.  Note: This could be different from the employee current organization.

Merchant Name

Merchant name of the transaction

Expense Type

The expense type per transaction ( a “p-card” expense type is the default for all p-card transactions until it’s updated to the actual expense type )

Description

If the p-card transaction has been updated with the line description field completed, the description will display in this column. If the p-card transaction has not been updated with this information, it will remain blank until updated.

Expense Report Last Updated

This date is the last date the expense report was updated if the p-card transaction was added to an expense report, otherwise this date will be blank if the transaction has not been added to a report yet.

Report Number

The expense report number associated with the p-card transaction if applicable.

Report Status

Status of the p-card transaction and/or expense report.  For p-card transactions not added to a report, it will return a blank cell. For p-card transactions added to an expense report, it will show the status for the transaction/report. Note: This report filters out all paid statuses to only display results for outstanding/unreconciled transactions that could result in the p-card being placed on a hold per p-card policy.

Concatenated Segments

The full account string selected for the p-card transaction. If the p-card transaction is being charged to a project/grant, this column will display a blank and the project information will show in the next column labeled “project.” For p-card transactions that haven’t been updated with the account information, this too will display a blank cell for the transaction.

Project Number

Project number if applicable and completed for the transaction

Transaction Amount

Amount of the p-card transaction

Step Four

Exporting the data to Excel

  • The options to export and/or print are located at the bottom of the report.
    • It is recommended to export in a CSV file: Export > Data > CSV Format
    • Exporting to csv will allow the user to filter or find p-card transactions in any of the columns.

 

You have now completed the steps to run the Outstanding P-Card Transactions Report.
