PrintPress Policy & Recommended Printers

To ensure performance expectations and centralized management of networked work group printers, Information Technology will support the following printers on the central print server, PrintPress. (Wireless printers are not supported on campus for security reasons either on print press or via direct IP printing.) Work group printers are typically intended to provide service to five or more users connected to a printer. IT Computer Support Specialists will work with you to get the printer added to the server, configure departmental computers to print to the shared work group printer, and help troubleshoot any printing errors.

If you purchase a printer that is not included in this list, it will not be added to the
PrintPress print server. Instead, IT Computer Support Specialists will configure your computer to print directly to the printer. (Only Ethernet printers/MFPs are allowed. Wireless only printers are prohibited due to security concerns.) Before purchasing any printer, consider the current functionality of any Canon copier/printer already being used in the department. Does it meet your needs? Many of the current Canon copiers are capable of 11x17 tabloid printing, and can handle various special materials much better than many of the printers listed above. The Canon copiers unlike other printer devices are not configured through print press. They have their own methods for installing that can be found here for PC and here for Macs.  Special use devices, such as large plotters, will be evaluated on a case by case basis. IT will work with the department to obtain the appropriate software for the device and to test functionality.

IT will continue to maintain existing printers on PrintPress as long as they can utilize the Universal Printer Drivers provided by HP and Dell.  Printers may be removed from PrintPress:

  • when they need to be replaced
  • when software support for them is no longer available from the vendor
  • when the printers are too old to be compatible with newer operating systems and software
  • when the printer has not printed a page in the last 180 days


Print server upgrades may impact the functionality of older printers and personal desktop printers, and IT cannot guarantee that those devices will function after a print server is upgraded. In the event of a server upgrade, IT will migrate printing devices that are less than five years old.
