How to set the Automatic Replies (also known as Out-of-Office) on Special E-mail only accounts

Special e-mail only accounts are those accounts that are for departmental use - normally used for departmental or project communication.

These accounts do not have passwords and cannot be signed into directly.  However, you can still access the account and set its Automatic Reply (Out-of-office) condition.  Useful during semester breaks when the account may not be monitored, or if you wanted to set a response to incoming messages.

To set the account's Automatic Replies.  First Launch a web browser.  Since you will be signing into a Microsoft web site, the Edge browser is preferred, however most any browser should also work.

Bring up an InPrivate or Incognito window in the browser. InPrivate windows do not reference already signed in accounts, allowing for the option of signing in with another account.  In the upper right corner of the browser, locate the three dots to display an action menu.  In the menu, select, New InPrivate Window

Within that browser window, in the address field, navigate or enter in the address: https://office.com

Click the Sign in button.

Sign in with your UW email address.

The web site will redirect to the WyoLogin security page.  Sign in with your UW username and password.

Once you have completed the sign in process, you are now in the Office 365 web portal.  In the upper left corner, locate a button which looks like nine small dots.

Click those dots, then select Outlook.

You should now be viewing your own e-mail.

We can use this page to open the special account.  In the upper right corner, locate an icon with your picture or initials.  That should bring down a set of options, select, Open Another Mailbox

  

Enter in the name of the account you wish to open.  The account may auto-populate as you enter in a few characters.

The special account should open in a new browser tab.  You may now work with the account as you would your own.  You can manage messages, or set the Automatic Replies option.

To set Automatic Replies, click the 'gear' icon in the upper right for Settings.

In Settings, navigate down the menu path: Account -> Automatic Replies

Toggle Automatic Replies on, set a time frame if appropriate and compose your replies.  Changes take effect when you click the Save button in the lower right corner.  Close the web browser when finished. It is recommended that you use your own account to compose a message to the special account and send to confirm the automatic replies are working and how they view.
