What is Proxy Access?

  • Banner Proxy Access allows students to give authorized individuals (e.g, parents or guardians) access to their confidential student information like academic records or financial aid information.
  • Students must have obtained their initial UW Username and Password to setup proxy access.
  • Students grant proxy access through WyoRecords.
  • Students can remove proxies or set the duration the proxy has access via WyoRecords.
  • Once a student grants the proxy access, the proxy will receive an e-mail providing a link to access WyoRecords and a pin along with instructions on how to use Proxy Access.
  • A student can assign a proxy pass phrase which allows the proxy to identify themselves as a valid proxy when speaking to the University on the student’s behalf.
    • To speak to the University on the student’s behalf the proxy must:
      • Confirm their name and e-mail as the student has provided.
      • Be authorized by the student in Self-Service through WyoRecords.
      • Provide the proxy pass phrase exactly as the student designated.
      • The proxy pass phrase is provided to the proxy by the student.

How do I add a new proxy?

  1. Navigate to WyoWeb.
  2. Login to WyoRecords > Student with your UW user name and password. This will require you to use 2FA.
  3. Select Personal Information > Share Your WyoRecords Access from the menu.
  4. Click the + Add New button.
  5. Enter all the required information of the proxy.
  6. Proxy access can be temporary. Enter a start and stop date.
  7. It is optional to add a pass phrase so that a proxy can speak to the University on the students’ behalf. The student is responsible for giving that pass phrase to their proxy exactly as they have designated.
  8. Check the authorization boxes of resources the proxy needs to access. NOTE: Giving access to the Student Profile also includes grades!
  9. Click Submit.

How do I manage existing proxies?

  1. Navigate to WyoWeb.
  2. Login to WyoRecords > Student with your UW user name and password. This will require you to use 2FA.
  3. Select Personal Information > Share Your WyoRecords Access from the menu.
  4. If you have existing proxies the person will show up under the Proxy Management list.
  5. To remove a proxy, click the trash can icon and then click Delete to confirm the removal.
  6. To edit proxy information, click the pen icon.
    • In the Proxy Information tab, the student can change and e-mail the pass phrase to the proxy.
    • The History tab allows the student to see what the proxy has been given access to and when. Students can view when a proxy has logged in, pages the proxy has viewed, and when authorization has been given to specific pages.
    • The Communication tab allows the student to see what was sent to the proxy and resend, if needed.
    • In the main edit page, the student can click Reset Proxy Password. This resets the password the proxy has set after initial login.

How do I set up a proxy account as a proxy?

  1. After the student has added you as a proxy you will receive an e-mail from PROXY_ACCESS@uwyo.edu with instructions on how to set up a proxy account.
  2. Follow the link in the e-mail and login with the initial password provided to set up the proxy account.
  3. The proxy will be prompted to change the initial password upon first login. The new password will need to be between 12 and 15 characters. Note: The URL to setup access can only be used once and is only active for 5 days.
  4. After you've setup your account, use the permanent PROXY LOGIN URL to access your proxy account. This link should be bookmarked for future access.

Warning: WyoRecords contains sensitive student data. Do not share this information with anyone. If acting on a student's behalf, consult them first and use your access responsibly.

Proxy Access FAQs

  1. The URL to set up a proxy account expired. How do I get a new URL?
    • The student will need to login to proxy management and remove/re add the proxy.
  2. How do I reset a proxy account password?
    • The proxy can click ‘Forgot Password’ when trying to login. They will be sent reset instructions and a temporary password to the e-mail address on file.
    • The student can login to proxy management and reset the proxy password which will send reset instructions and a temporary password to the proxy’s e-mail address on file. See the section above on how to manage existing proxies.
  3. How do I reset a proxy access pass phrase?
    • The student can login to proxy management and change and resend the proxy pass phrase. See the section above on how to manage existing proxies.
  4. How do I resend the initial proxy account setup e-mail to my proxy?
    • The student will need to login to proxy management and remove/re add the proxy.
  5. "Logon denied. Please contact the system administrator" message after 3 invalid login attempts.
    • Proxies and students do not need to contact the Help Desk to resolve this error. Proxies and students can follow the password reset instructions above.
  6. My student changed my authorized pages, but I do not see them as selectable in my list?
    • Proxies will need to sign out and sign back in (using the above PROXY LOGIN URL) to see the changes to authorized pages in your list.
