Students Using WyoRecords

Introduction 

The University of Wyoming utilizes our WyoRecords System in order for students to access the following important information:

  •    Checklist, Personal Information, Financial Aid, Registration, Student Records, and Student Account

 

To be able to follow any instructions below you must be logged into your WyoRecord Portal: 

  • Navigate to WyoWeb, then to "WyoRecords", select "Students (Click Here)", and log-in using your UW Credentials

Admissions Checklist 

If you are a new incoming student there will be a Checklist provided by admissions that will need to be completed before you are able to register for any courses. Please follow the steps below to ensure your checklist is being completed properly. 

 

Step 1: Once in the Wyorecord Portal, at the top of the screen you will see the admissions checklist 

  • In the checklist there will be links. Use these links to easily access each section to complete the item.

 Once all items in the checklist are complete, you will be able to register for courses.  Checklist for completed admissions items, including options and requirements, with green checkmarks for each completed task

 

 

Registration Checklist

If you are a continuing UW student there will be a Checklist provided by registration that will need to be completed before you are able to register for any courses. Please follow the steps below to ensure your checklist is being completed properly. 

 

Step 1: Once in the Wyorecord Portal, you may see the checklist at the top of the portal. 

  • In the checklist there will be links. Use these links to easily access each section to complete the item. 

    • If there is no checklist being presented at the top of your WyoRecord Portal please still continue to step 2. The checklist may be located in the registration portal.

 Once all items in the checklist are complete, you will be able to register for courses. 

 

Step 2: Navigate to the "Registration" option

If you are unable to find the Registration option listed, in WyoRecords please follow step, HERE, on how to access Registration Protal through the four-square menu.

  • Once you've successfully navigate to the Registration Portal, navigate back to Step 3 to continue with the instructions. 

 

 

Step 3: Once in the Registration Portal select the "Register for Classes" option

Step 4: You will then see a Registration Checklist.  If you have any items to complete on this checklist, complete those. Then click the link for Register for Classes

See and Accept Financial Aid 

The University of Wyoming utilizes the WyoRecords portal for easier access to your Scholarships and Financial Aid. For more information on Scholarships and/or Financial Aid please navigate to their website, HERE

If you are needing further assistance with Scholarships and/or Financial Aid we recommend reaching out to our Office of Scholarships and Financial Aid directly either through email: sfs@uwyo.edu OR call: 307-766-2116  

 

Step 1: Once in the WyoRecord Portal, if there are offers to accept, the award link(s) will be provided in the "Checklist" section

Complete

Both statuses serve as a shortcut to the financial aid offer page. Depending on the type of financial aid, the process to accept will differ and more instructions will be provided when the award link is clicked.  

 

Step 2: If you are unable to located any financial aid offers under the "Checklist", navigate to the "Financial Aid" drop-down menu then select "Financial Aid Status"

Making a Selection on Health Insurance Coverage 

Every semester, new/continuing students are required to complete the Registration Checklist to be eligible to enroll in courses. One step through this process is making a selection on your Health Insurance Coverage. Below are provided steps on how to complete this process properly

 

Step 1: Once in the Wyorecord Portal, at the top of the screen you will see the may see the Checklist 

  • Navigate to and select the "You must make a selection on Health Insurance Coverage" task

Step 2: The Health Insurance Coverage Window will open. This page will provide important information on detail about coverage, as well as the availability and pricing of the coverage 

  • Accepting Coverage: Select "Yes" then "Submit" to accept and purchase the student health insurance coverage 

    • Once this is complete please continue to step 3 

  • Declining Coverage: Select "No" then "Submit" to decline the offer for health insurance

    • If you are choosing not to enroll in insurance, once declining the offer you should see a green checkmark appear next to the "You must make a selection on Health Insurance Coverage" task within the checklist.

Step 3 (Accepted Coverage): Once you have selected "Yes" then "Submit", you may be asked to provide your Social Security Number (SSN)

  • Why SSN May Be Needed: During admissions it is not required to input your SSN, so this field may be left blank in your files on gaining a student account through admissions.

Step 4 (Accepted Coverage): Once these steps are completed you will receive a note confirming you have elected to purchase the Health Insurance Coverage

Step 5 (Changing Coverage): If you need to change your selection, at the bottom of the screen navigate to and select the "Change my selection" button

  • Note: There is an end date to when this selection can be changed each semester which will be noted on the page right above the "Change my selection" button

Student Profiles 

The Academic Profiles (A.K.A. Student Profiles) allows students to view their account information such as WyoOne ID Photo, Contact/Personal Information, GPA, Credits, etc...  

 

Step 1: Once in the Wyorecord Portal, navigate to and select the "Student Records" drop-down menu then select "Academic Profile

  • Once you've successfully navigate to the Registration Portal, navigate back to Step 2 to continue with the instructions. 

 

Step 2: Then the Academic Profile Page will open. To Understand each section please reference the guide below the photo in this step

  • Section A: Across the top of the Academic Profile Page there is a Navigation Bar containing options and information which will be listed from left to right below: 

    • You may select which Term you'd like to view (Past or Present)

    •  You may view your Current Standing (i.e., Good Standing, Academic Probation, etc...) 

    • You may view your Overall Hours currently

    • You may view your Overall GPA currently

    • You may view your Registration Notices by selecting the option to open the drop-down notification menu 

    • You may view your Holds by selecting the option to open the drop-down notification menu
       

  • Section B: On the left hand side of the Academic Profile, there will be a panel providing the following information: 

    • You may view your WyoOne ID Photo 

    • Under your WyoOne ID you may view your name 

    • You may view if your account if confidential or not 

      •  Confidential Account: Right under the WyoOne ID photo and above your name there should be a section with a lock icon saying "CONFIDENTIAL

    • You may also utilize the several navigation menu options in which will navigate you to their respective pages  

  • Section C: To the right of the left Menu Panel you will the "Personal Information" Panel where you may view the following: 

    • Bio Information: including UW Email, Phone, Gender, Date of Birth, Ethnicity/Race, Citizen/Citizenship, Emergency Contact/Phone 

    • General Information: including Level (i.e., graduate, undergraduate, etc...), Class (i.e., Junior or Senior), Status,  Student Type, Residency, Campus, First Term Attended, Last Term Attended, Leave of Absence    

    • Graduation Information: Including Graduation Applications (A.K.A. GA), Awarded Degree (Only if GA exists), Term, Date (Only if GA exists)

      • Please note this section may vary   

    • Advisors: Including your Primary/Major, Secondary/Major, and Minor Advisor(s)  

      • Please note this section may vary   

  • Section D: This is the "Curriculum, Hours, GPA" Panel in which you can view three different options which include the following information: 

    • Primary: Where you can view your Primary Major information 

    • Secondary: Where you can view your Secondary Major information

    • Hours & GPA: Where you can view your total Hours & GPA  
       

  • Section E: This is the "Registered Courses" Section in which you may view what courses you are registered in for the selected term

 

 

Viewing My Grades 

 Within the WyoRecord Portal Active Students have the ability to look up their Grades from current and available past semesters.

  • If you have recently graduated it's possible you may still have access to still view the most recent semester
  • If you have graduated from the university 6 or more months ago and you'd like to view your past grades you will need to view your unofficial transcripts or request your official transcripts  

 

Step 1: Once in the Wyorecord Portal, navigate to and select the "Student Records" drop-down menu then select "Grades

  • Once you've successfully navigate to the Registration Portal, navigate back to Step 2 to continue with the instructions.

 

Step 2: Once in the Grades Portal, navigate to the "Select a Term" and "Select a Course Level" drop down menus to choose the desired semester and Level you'd like to view

Viewing My Transcript 

 Within the WyoRecord Portal, Students have the ability to view their unofficial Transcripts or Request Official Transcripts

 

Step 1: Once in the Wyorecord Portal, navigate to and select the "Student Records" drop-down menu then select the "Transcripts" drop-down menu 

  • NOTE: Graduates and Alumni that are no longer enrolled in courses through the University will you the "UW Alumni" option instead to be able to view or request their transcripts

  • Once you've successfully navigate to the Registration Portal, navigate back to the respective Step 2 (unoffical or official) to continue with the instructions.

Step 2 (Unofficial Transcripts): In the Transcript Menu select "Academic Transcript"

Step 3 (Unofficial Transcripts): Once in the Transcripts Portal

  • Select the desired "Transcript Level" (i.e., Undergraduate, Graduate, All Levels, etc...) 

  • Under "Transcript Type" select the "Self-Service Unofficial" option 

  • Then select "Submit" to properly save options and view your unofficial transcript

Official Transcripts

Please Note If you have an outstanding debt with the university, we cannot issue a transcript. If you believe you may have an outstanding debt, please contact the Office of Accounts Receivable at (307) 766-6232 or by email at sfs@uwyo.edu.

Step 2 (Official Transcripts): In the Transcript Menu select "Request Official Transcript"

Step 3 (Official Transcripts): Once in the Request Printed Transcripts Portal. Select the desired Address by doing one of the following then selecting "Continue"

  • If you have an address already saved in your files, under the "One of your Addresses" select the drop-down menu to properly selecting an already existing address 

  • If you desire to send it to an unlisted address or an email address, under "OR - Issue To...." please enter desired Recipient's name (if wanting to email the transcript) or street address in the text box

Step 4 (Official Transcripts): Next you will be presented with the Select Transcript Type Portal. Once this page is filled out properly please select "Continue". 

  • To Understand each section please reference the guide below the photo in this step

  • Transcript Type 

    • Email Delivery: This will be sent to a desired email address in the form of a PDF

      •  Note: You may only send this to one email address at a time, if there are multiple emails you would like to send your transcripts to you will need to fill out a form for each email address

    • Standard Mail: This will be sent through the normal postal service  

    • Sealed-Mail (Seal on envelope): This will be a sealed envelope that is signed and officially stamp to guarantee authenticity  
       

  • 1. Address  

    • If Sending an Email: On "Street Line 1" please enter the desired email address you would like to send your official transcripts to 

      • Note: This is the only line that will need to be filled in this section 

    • If Mailing Physical Copy: Please fill out the Street Address, City, State or Province, Zip or Postal Code, and Nation with the desired information 
       

  • 2. Phone Number 

    • In this section please input the desired phone number with the respective information (i.e., Area Code, Number, International Access Number, and Extension)  

 

Step 5 (Official Transcripts): Once in the Transcript Option Portal. Fill out the following information and then select "Continue"

  • Number of Copies (Up to 2) 

    • Input whether you would like 1 or 2 copies of your official transcript 

  • Official Transcript

    • Select "Yes" to ensure you receive the Official Transcripts

  • In-Progress Cut-Off Term 

    • Select the desired cut-off term 

  • Print Transcript 

    • If Email: The only option available will be "As soon as possible

    • If Mailing Physical Copy: The only option available will be "As soon as possible

  • Delivery Method

    • If Email: The only option available will be "Email PDF - No Charge

    • If Mailing Physical Copy: The only option available will be "Sealed Mailing - No Charge

Step 6 (Official Transcripts): Once in the Transcript Request Summary Portal. Confirm the information showing and then select "Continue"

Applying to Graduate

When you are expecting to graduate, the University requires you to Apply to Graduate. For this you are able to do this through your WyoRecords Portal by following the steps below

 

Step 1: Once in the Wyorecord Portal, navigate to and select the "Student Records" drop-down menu then select the "Apply to Graduate" option

  • Once you've successfully navigate to the Registration Portal, navigate back to Step 2 to continue with the instructions.

 

Step 2: Once in the Graduation Application Portal, if necessary please select the desired "Term", then select "Current Program", and finally select "Continue

Step 3: Once in the Graduation Date Selection Portal, navigate to and select the "Graduation Date" drop-down menu, then select the respective date. Once this is complete ensure you are selecting "Continue

Step 4: Once in the Diploma Name Selection Portal, please fill out all the boxes with the respective information. Once this is complete ensure you are selecting "Continue"

Step 5: Once in the Diploma Mailing Address Selection Portal, please fill out all the boxes with the respective information. Once this is complete ensure you are selecting "Continue"

Step 6: Once in the Graduation Application Summary Selection Portal, please ensure all information is correct. Once this is complete ensure you are selecting "Continue"

Step 7: Once in the Acknowledgement Portal will appear after the Graduation Application Summary Page to confirm your application. 

  • This page will provide some information regarding graduating with the University of Wyoming

​​​​​​​​​​​​​​Within a few days after submission of the graduation application, a charge will appear on your account for the graduation fee, which you will then be able to pay as you would any other charges.​​​​​​​ ​​​​​​​

Accessing Menu Options Through Four-Square Menu 

In the rare case your Wyorecords portal may appear blank (shown in the image below). If this is the case you should still be able to access the menu by following the provided step below.

Accessing The Financial Aid Menu

3. Once in the Student Records Menu, please select the desired option you would like.
