Email Retention Policies

Introduction:

Information Technology does not recover deleted or lost email items. However, if you accidentally delete email from your Microsoft Outlook Exchange mailbox, you can usually recover it for up to 30 days after the deletion occurs. When an email is first deleted, it is moved to the Deleted Items folder. Until this folder is emptied, you can move items back from it into your Inbox or any other folder for 30 days from the time the email was moved to the Deleted Items folder. If the items in the Deleted Items folder are deleted email can still be recovered for up to 30 days from the Recoverable Items folder.

Email Retention Policies

  • Take care when deleting items.
  • UWIT recommends not using the Deleted Items folder as storage or archival of emails, as they will be deleted after 30 days.
  • Deleted Messages are moved to the Deleted Items folder, where you may recover them.
  • After 30 days in the Deleted Items folder, those emails will be deleted into the Recoverable Items Folder and can be recovered for an additional 30 days.
  • After 30 days in the Recoverable Items Folder emails will be deleted and no longer be recoverable.
