General Ledger (GL) Balance Report

This guide will cover:

  • Accessing and viewing the GL Balance Report to view beginning and current fund balances with expenditures.

Note: The information displayed is only good for FY18.

Step One

  • Upon signing in, this home page will display. Click on the Navigator button in the top left corner:

  • The Navigator bar is where you can find links directing you to all the modules and pages for which you have access. In this example, under Tools, select Reports and Analytics.

 

Step Two

  • From the Reports and Analytics page, select Shared Folders > Custom > Dashboards > Table of Contents.

  • After clicking Table of Contents, select Table of Contents again from the drop down menu and then select View.

  • The Transactional Reporting Table of Contents will appear.  From the Transaction Reporting Table of Contents, select GL Balance Report under the General Ledger and Budgetary Control menu.

 

Step Three

A selection of filters will appear.  These filters are options to help refine your report. 

In this example, we have selected Jul 17 for the Period and Anthropology for the Organization. You will always want to define a specific period.

 

When selecting the period filter, be sure to use the selected month has been closed for period end. Starting in August 2017, users will receive an email from WyoCloud letting them know when period end is complete.  Generally this will be within one week after the first of the month.

 

  • After running the report, it will prompt you to open the report in Excel.

It may take a few minutes for the report to populate and prompts you to open in Excel.

 

Step Four

  • Within Excel you have the ability to sort and filter for the information you would like to see.  Many users find it is most useful to sort by Fund Source Code.

Step Five

  • If you would like a more refined search, additional filters such as fund class can be applied to narrow the results.  Lets look at two additional common filtering options.

In this example, we will look at the indirect costs for Org 10051 within the fund source 000001. Several of the search filters are available using either chart string numerical values or the associated word (appearing lower on the page) either filtering option returns valid results.

  • In this example, a more refined search result is displayed.

               You have now completed the steps access and view a GL Balance Report.
