Creating Text File Containing Members of Distribution List

This article provides a comprehensive guide on how to manage the visibility of distribution list members as well as how to create a text file of the list of members.

Introduction

The University understands that Distribution List administrators may occasionally need to view or manage the members of a Distribution List. To support this, we have provided a comprehensive guide with step-by-step instructions on how to export the list of members to a text file.

Creating Text File Containing Members Of Distribution List

Step 1: Navigate to https://lists.uwyo.edu/mailman/listinfo/ListName to open the distribution list's information page. 

  • Note: ListName should be replaced with the name of your distribution list

Step 2: Navigate to the "ListName Subscribers" section and enter your UW email address along with the Distribution Lists password. Once you do this you may select "Visit Subscribers List" to access the full list. 

  • Note: ListName should be replaced with the name of your distribution list

Step 3: Once in the "ListName Subscribers" Page, under "Non-digested Members of ListName" and/or "Disgested Members of ListName" you will be able to view all of the member of the Distribution list.  

  • Note: ListName should be replaced with the name of your distribution list

Highlight the entire list then Right-Click and select "Copy

Step 4: Once members of the list are copied, open up a new text file.

  • Mac: TextEdit 

  • Windows: Notepad

In a blank text file Right-Click and select "Paste

Step 5: Ensure the formatting of the members is listed as "UWusername@uwyo.edu"

If it is not formatted this way a quick way to change this formatting is the following:

While in the text file, on your keyboard select - 

  • Mac: Command+f | Windows: Ctrl+f

It will be common for the formatting to be " at uwyo.edu". If this is true in your case input this into the textbox that appears in the upper right-hand corner.

  • Ensure you are including the space before "at".

Select the drop down menu on the "Find" function, this is where it will reveal the option to input the replacement. Here you will put "@uwyo.edu", then select "Replace All"

Note: Ensure that there are no extra spaces/lines at the beginning, end, or in-between members names within this text file. If there are, just simply delete these extra lines/spaces. 

 

Step 6: Once formatting has been corrected (if needed), go to "File" then "Save As". Here you will name this document something recognizable (i.e., MembersOfListName_Date) and select where on your device you would like it to be saved to.
