Delegations

  • When a workflow is assigned to someone who has an active delegation defined in WyoCloud, both the original approver and the delegate will be added as a participant to the IDT(s). 
  • Either one of them can claim the IDT and enter the expense/debit information and submit for approval as well as approve to move the task forward.  If the delegate has also delegated to someone, that person will also be added. The original approver and delegates will receive an email notification that an IDT needs their attention if a new IDT has been submitted after the delegation appears in the IDT Management System. If the IDT is already in workflow when the delegate is added as a participant, the new participant (approver) will receive the notification email at the next reminder interval (3,7, and 14 days from original submission). If all reminders have passed, the new participant will not receive a notification email. They will need to find the email under “My Tasks” in the IDT Management System dashboard.
  • If a user delegates to someone today in WyoCloud, it won't take effect in IDT until overnight processing runs.  There is no way for someone to delegate directly in IDT.  This mirrors how delegations work in the Costing module.  Delegates can only be added or removed in WyoCloud.
  • If the delegate has not taken the IDT training, they’ll be added to the IDT as an approver but won’t be able to sign in and approve the IDT until they have taken the training.
  • If someone has active workflows and they delegate to someone today (meaning the workflow in IDT is only assigned to the originator), after overnight processing, the delegate will be added to the approval.  If the delegate does not approve before the delegation ends, the overnight processing will remove the delegate from the approval.
  • Delegations can be found under the "Delegations" tab on the left-hand side.

  • When there are multiple Cost Center Approvers (CCAs), the State will be listed as Unassigned. The CCA will need to claim the IDT before being able to approve or reject the IDT. This will happen any time a delegate is added since there will be the original CCA and the delegate.
  • To claim, first select Submit Approval:

  • Then the Claim Task button will appear in the bottom right corner of the Task Details page:

Columns

  • New Workflow Step column
    • The workflow step column was added to show where the IDT is in process such as Not Submitted, with the Expense Dept. etc.

  • Freezing columns
    • Users can freeze columns when utilizing the scroll bar by selecting the header of the columns they would like to freeze and selecting the snowflake icon

  • Hiding columns
    • Users can hide columns that they do not want to utilizing by selecting the header of the columns they would like to hide and selecting the eraser icon

  • The order of columns can also be changed by clicking on the left side of a column heading, and dragging the column to the desired new order. Hover over the column to see the collection of dots, called a drag handle.  Hover your cursor over the drag handle to drag and drop the column to a new position.

  • Save changes under Actions > Report > Save.  If changes are not saved, the report will revert to the default settings upon next log in.
